Clashing and Overlapping Examinations
- An examination clash is whereby a student has more than one examination scheduled at the same time on the same day.
- An examination overlap is whereby a student has examinations scheduled on the same day with durations straddling, with the duration of the first examination stretching into the commencement time of the subsequent examination.
- A student with clashing/overlapping examinations should report the situation to their respective Faculty/Departmental Office at least four days before the clashing/overlapping examinations.
- The Faculty Administrator/Departmental Chairperson agrees with the student(s) on options to enable the affected student(s) to write the examinations on the same day. In cases where the clashing/overlapping examinations affect more than one student, the Faculty Administrator/Departmental Chairperson should ensure that students write the examinations following a uniform sequence.
- After agreeing on options to write the scheduled examinations on the day, the student(s) complete an Examination Clash Form issued by the Faculty Administrator/Departmental Chairperson. The Form is completed in quadruplicate.
- The student should lodge three copies of the completed Examination Clash Forms with the Faculty Administrator for onward transmission to the Departmental and Examination and Certification Offices at least three days before the clashing examinations. The Faculty Administrator and the student retain a copy of the Examination Clash Form, with the student presenting his/her copy to the Chief Invigilator on the day of the examinations.
- On the day of the clashing/overlapping examinations, the affected student(s) should report to the Chief Invigilator at the Great Hall regardless of the examination venue(s) indicated on the published Final Examination. All clashing/overlapping examinations should be written in the Great Hall.
- After writing the first examination, students with clashing/overlapping examinations should remain in the Great Hall or any other assigned venue under quarantine to avoid mixing with other students writing the affected examinations.
- Once a student under examination quarantine leaves the examination venue unaccompanied and without permission, he/she shall be deemed to havebreached conditions enabling him/her to write all the scheduled examinations and will be disqualified from the remaining examinations on the day. Further, disciplinary processes maybe pursued against the candidate.
- Students with clashing/overlapping examinations should bring to the examination venue all materials they may need for revision in-between the examinations except cellular phones, smartwatches, laptops and any other electronic gadgets which can access the internet, store and retrieve data. They may also bring to the examination venue food, water and medication, where applicable since they will not be allowed to leave the venue once examinations have started.
- Failure to report clashing/overlapping examinations in good time will render it impossible for the affected student(s) to write all the scheduled examinations on the day.
